Payroll & Office Administrator

On-Site Rx is seeking an experienced, detail-oriented, and proactive Payroll Administrator to oversee multi-state payroll processing and other responsibilities related to supporting Human Resources and business operations. In addition to payroll processing, the position is also responsible for tracking and supporting high volume transactions and invoicing which requires an exceptional degree of attention to detail and critical thinking.
The person in this role will demonstrate compelling leadership and allegiance to the company in supporting all aspects of operations and be located in NC, SC, GA, TN, KY, VA or SC. This position is a full-time, fully remote and benefits eligible position.

Essential Duties and Responsibilities include but are not limited to:

Payroll Administration:

  • Process multi-state payroll on a bi-weekly and monthly basis for all employees, ensuring compliance with company policies and government regulations.
  • Maintain employee records in payroll software, ensuring all updates such as new hires, terminations, and changes in pay rates are accurate.
  • Calculate and deduct taxes, benefits, and other deductions while ensuring proper filing and compliance.
  • Resolve payroll discrepancies, handle employee inquiries, and provide support for payroll-related questions.
  • Generate and distribute pay statements and year-end tax documents (e.g., W-2s or T4s).
  • Stay updated on payroll laws and regulations, ensuring compliance with applicable federal, state, and local requirements.

Operations & HR Support:

  • Act as a point of contact for clients and employees by handling inquiries, resolving any concerns, or redirecting as needed.
  • Coordinate with banks and financial institutions for direct deposits, wire transfers, and other financial transactions.
  • Work closely with the accounting team to assist with:
    • Monthly, quarterly, and annual filings.
    • Monitoring and managing corporate accounts, ensuring accurate tracking of financial transactions and payments.
    • Reconciling outside funds against internal systems for accuracy and tracking.
  • Accurately compile and track high volume transactions to generate and disperse client invoices.
  • Work closely with the accounting team for monthly, quarterly, and annual filings.
  • Assist with onboarding and offboarding of employees, including posting job ads and phone screening of applicants as needed.
  • Coordinate annual reviews and raises.
  • Perform the above while representing the company with professionalism and integrity.
  • Perform other duties as assigned.

Qualifications

  • Associate's degree in Business Administration, Accounting, Human Resources, or related field
  • Minimum of 3 years of experience in payroll processing
  • Proven experience in payroll administration
  • Strong knowledge of payroll software (e.g., ADP, Paychex, SyncHR, PrimePay)
  • Strong attention to detail
  • Extensive experience in Microsoft Office Suite with emphasis on Excel
  • Familiarity with HR functions, labor laws, and tax regulations
  • Excellent attention to detail and organizational skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong written and verbal communication skills
  • High level of professionalism and discretion when handling confidential information
  • Ability to work independently and as part of a team
  • Ability to work from home in a work area free from distractions and with a strong internet connection
  • Current driver's license and auto insurance
  • Ability to travel up to 5% of the time

Preferred Qualifications:

  • Bachelors Degree in Business Administration, Accounting, Human Resources, or related field
  • Experience with SyncHR or PrimePay software
  • Payroll certification (e.g., CPP)

Physical Conditions & Requirements:

This is a remote position entailing sitting for extended periods of time and working on a computer.

  • May be required to stand or sit for extended periods of time and perform repetitive tasks.
  • May be required to work evening and weekend hours if needed.
  • Travel up to 5% is required.
